Job Description: Reporting to the Head of Program Leadership, this position, Strategic Operations Coordinator, will support the work of the Program leadership organization including strategic, and operational support of the team.
Executive Assistant to the Head of Program Leadership.
Responsibilities include:
• Support interdisciplinary strategic planning, development and implementation of high-priority programs, as requested by the Head of Program Leadership.
• Work with Head of Program Leadership to determine key performance indicators (KPI), and the processes needed to communicate progress towards achieving annual Program Leadership goals.
• Support the R&D Chief of Staff (CoS) with tracking assigned R&D Priorities. Represent Program Leadership on the CoS Network.
• Monitor progress on Program Leadership assigned R&D priority programs. Proactively identify and solve execution issues, and maximize the speed and quality of execution. Keep the R&D CoS informed of KPI and critical issues on an ongoing basis including preparing and presenting reports detailing the status of specific initiatives to inform decision-making processes.
• Coordinate Program Leadership approval and management of all vendors used to support drug discovery and development initiatives. Lead procurement process and subsequent PO requirements.
• In collaboration with the Head of Program Leadership, enforce fiscal stewardship across all projects and initiatives that you support. Verify use and enforce adherence to allocated budgets for travel, conference planning, or other identified activities championed by Program Leadership.
• Lead facilitation of team meetings. Maintain team repository for Program Leadership documentation.
• Proactively and regularly maintain robust communication and information dissemination of key insights from working groups/networks and other committees on behalf of Program Leadership.
• Maintain calendar, expenses, travel, provide guidance to contract admins, meeting planning,
• Manage multiple tasks and high-level projects while simultaneously managing day-to-day operations of the office.
• Maintain the VP's schedule, including day-to-day and long-term management of meetings, projects, and priorities
• Schedule all meetings and travel, including prioritizing meetings and communicating all relevant details to participants
• Collaborate with stakeholders to plan and execute larger organizational conferences and meetings, whether remote or in person (e.g. staff meetings, town halls, regional meetings)
• Balance conflicting priorities in order to manage workflow, ensure the completion of essential projects, and meet critical deadlines
• Ensure VP is prepared for upcoming appointments by gathering agendas or materials necessary for each meeting
• Serve as the first point of contact for a wide variety of high-level relationships between VP and external contacts
• Facilitate, build and monitor relationships including tracking contacts in database and managing follow-up
• Handle phone, email and postal mail inquiries and respond appropriately
• Draft and edit correspondence and PowerPoint presentations
• Coordinate and manage special projects, including working collaboratively with staff to assure projects meet deadlines
• Build skillsets and networks of PBO contract administrative assistants through coordination of/access to subject matter experts (eg, Information Technology, Security) and trainings
• Ensure active back-up support for ORD administrative assistants
Qualifications: Required Qualifications
• Bachelor's degree in business or equivalent with 5+ years of work experience or Master's degree with 3 years of work experience in a pharmaceutical company with R&D operations experience.
• Exemplary focus on delivery and execution.
• Ability to navigate in a matrixed global organization.
• Highly organized, proactive, detail-oriented, proficient analytical ability, with effective listening and presentation skills and able to manage complex, high-visibility projects.
• Ability to engage leaders and Program Leadership Founders in establishing a culture of openness and continuous learning and improvement.
