Job Title: Procurement and Billing Coordinator

Location: Farmington, CT (Onsite/ Hybrid Preferred)

Employment Type: Contract

Role Overview

We are seeking technically savvy professional to support a high-volume data entry and procurement project. This role is critical for managing the input of 5,000+ sales orders into an ERP system (D365/SAP) and ensuring seamless coordination between procurement, billing, and operations teams. The ideal candidates will thrive in a fast-paced environment, excel at repetitive tasks with precision, and adapt quickly to system workflows.

Key Responsibilities

  • Perform high-volume data entry to process sales orders, material requests, and billing details in ERP systems (e.g., D365, SAP).
  • Generate and manage purchase orders (POs) and stock transfer orders (STOs) for materials and supplies.
  • Verify job completion compliance with company policies and update records with warranty and location details (e.g., Door IDs).
  • Collaborate with cross-functional teams (finance, production, sales) to resolve material or billing discrepancies.
  • Review and adjust inventory records post-installation to ensure accuracy in sales orders.
  • Attach necessary documentation (e.g., job completion sheets, photos) to invoices and process billing in ERP systems.
  • Participate in daily/weekly operational calls to align priorities and address urgent tasks.
  • Maintain strict adherence to data entry metrics and deadlines.

Must-Have Qualifications

  • Proven experience in high-volume data entry or administrative roles.
  • Proficiency in Microsoft Excel (e.g., formulas, data sorting) and Outlook.
  • Familiarity with ERP platforms (e.g., SAP, D365, Oracle) – SAP experience strongly preferred.
  • Ability to follow repetitive processes with speed and accuracy.
  • Strong attention to detail and organizational skills.
  • Excellent communication skills for remote/onsite collaboration.
  • Flexibility to adjust hours for urgent deadlines (occasional nights/weekends).

Nice-to-Have Qualifications

  • Exposure to procurement, billing, or inventory management workflows.
  • Experience in construction, manufacturing, or industrial sectors.
  • Basic understanding of compliance standards (e.g., Sarbanes-Oxley).
